Send-ready checklist before launch
Domain, DNS, webhooks, and approval gates every campaign needs.
Use this checklist for every client before the first production campaign or automation goes live. EonMailer gates some actions automatically; the rest is agency discipline.
1 — Workspace & access
- Client workspace created with correct name and timezone
- Team roles assigned (who can send vs approve vs view-only)
- Workspace switcher tested — AMs land in correct client

2 — Email provider connected
- Provider type matches runbook decision (pick provider guide)
- Credentials stored in password manager; not expiring in 7 days
- Production status (SES out of sandbox, SendGrid/Mailgun billing active)
- Test API connection green in Settings
Provider guides:
3 — Domain & DNS
- Sending domain added in EonMailer
- SPF valid — single TXT, includes correct provider
- DKIM green (all CNAME/TXT selectors)
- DMARC published (minimum
p=nonewith reporting address) - From address uses authenticated domain (
hello@mail.client.com)
Details: Verify a domain, SPF/DKIM/DMARC.
Warning Orange-cloud/proxied DNS on DKIM CNAMEs breaks authentication on Cloudflare — set DNS only.
4 — Webhooks & event feedback
- Bounce + complaint + delivery events reach EonMailer endpoint
- Test bounce (invalid address) appears in suppressions within minutes
- Unsubscribe / preference links work in test render
Without webhooks, lists won’t auto-clean and dashboards stay stale.
5 — List hygiene
- Import source documented (CRM, signup form, event — not purchased lists)
- Suppression list imported if migrating ESP
- Double opt-in confirmed where client policy requires
- Role addresses (
info@,admin@) removed or segmented
6 — Content & compliance
- Physical mailing address in footer (CAN-SPAM / local law)
- Unsubscribe link visible and functional
- Subject line + preview text reviewed
- Client approval recorded (approvals workflow) if required
7 — Deliverability ramp
- Warmup plan for new domain or cold list
- First send segmented to most engaged subscribers if migrating
- Spam folder test across Gmail + Outlook personal inboxes
8 — Send dry run
- Send to internal
@agency.comseed list - Check headers:
spf=pass,dkim=pass,dmarc=pass(Gmail “Show original”) - Links tracked correctly; no broken merge tags
- Scheduled time uses client timezone
9 — Launch comms
- Client knows send window and rollback contact
- Support inbox monitored for OOO replies first 24h
- Post-send report scheduled (white-label reports)
10 — Post-launch (first 72 hours)
- Bounce rate under 5% on campaign
- Complaint rate under 0.1%
- No provider suspension notices
- Adjust volume per warmup if deferrals spike
When NOT to send
Stop and fix if:
- Any DNS check yellow/red in EonMailer
- SES still sandboxed
- Webhooks untested
- Client legal hasn’t approved template for regulated industry
- List source unknown
